Client work / Wellness practitioner
The workday didn't end with her last client.
How a personalized AI follow-up system reduced the work after every client session, giving a wellness practitioner more time for the life she loves.
An estimated5+hours saved
every week
A connected, personalized client follow-up workflow,
built and in use.
30 minutes reduced to 10 minutes per client
- Before
- Manual preparation
- After
- Deliberate human review
Approximately 20 minutes saved per client, based on three to four clients a day, five days a week. The weekly saving is calculated from that volume, not a separately measured weekly outcome.
This is one client example, not a guarantee of results for every business.
The Challenge
She loves what she does. Working with clients, helping them feel better, and giving them the attention they need is why she built her practice.
But the work didn't end when the last client left.
After every session, she needed to find the right videos, routines, and educational materials, then put together a personalized homework email. Each one took approximately 30 minutes.
With three or four clients a day, those half-hours added up. She was regularly at her laptop until nine or ten at night, trying to finish everything.
And that was taking time away from the things she loved outside her business: dinner with her husband, spending time with family, going for walks, and getting out into her garden.
She didn't want to spend less time with her clients. She wanted to stop spending so much time in front of her computer on the work that came afterward.
Building Something That Sounded Like Her
A follow-up email should feel like a continuation of the session. I worked with her to capture the language she naturally uses with clients, from the way she explains movements to the nicknames she has for certain routines, and built that into the system. The drafts reflect her voice before she even sits down to review them.
I also organized her existing videos, routines, educational materials, and reference links into a connected resource library. This gave the system access to the knowledge and materials she previously had to search for and assemble herself.
How the System Works
The process starts with a simple conversation.
Client details
She tells the assistant whether she's preparing a follow-up for a new or returning client. She can speak or type the details she wants included, or simply say that she needs to prepare a homework email.
The assistant asks follow-up questions to gather the information it needs.
Resource selection
It then checks her connected resource library for relevant routines, videos, and educational materials.
If several resources might apply, it brings those options to her attention and asks which is most appropriate.
Personalized draft
From there, it prepares a draft email with the selected resources and links.
Practitioner review
She reviews everything, makes any necessary adjustments, and decides what the client receives.
She can also continue refining the instructions and adding to the resource library as her practice evolves.
What Changed
Follow-up preparation that previously took approximately half an hour now takes around ten minutes of deliberate human review.
At three to four clients a day, five days a week, that's an estimated five hours to six hours and forty minutes saved each week.
What Those Hours Could Mean
For this practitioner, saving time isn't simply about fitting more appointments into her schedule.
It's about being able to finish her working day and enjoy the rest of it.
Having dinner with her husband without a laptop waiting for her afterward. Going for a walk. Spending time gardening. Being present with the people she loves.
Those are the things she wanted more room for when we started looking at how her business could work differently.
The system creates the opportunity to reclaim that time while continuing to give her clients the personalized attention she cares about.
What Comes Next
Future possibility / Not implemented
The connected resource library also creates another possibility for the business.
The same collection of videos, routines, and educational materials could eventually form the foundation of a subscription offering, giving clients access to additional resources beyond their individual sessions.
That remains a future opportunity, rather than something already implemented.
For now, the personalized follow-up workflow is in use, with the practitioner reviewing each email before it is sent.
